HOTEL POLICIES

As our valued guest, we kindly request that you carefully read and sign your hotel registration, indicating your agreement to abide by our Hotel Policy/House Rules, terms and conditions, and procedures. These guidelines have been designed to prioritize your safety, enhance your enjoyment, and establish clear expectations between Rincon of the Seas and our esteemed guests.

Please note that our Hotel Policy/House Rules may be subject to periodic updates and modifications. We encourage you to check this section regularly to stay informed about any changes that may occur.

Limited Housekeeping Service: The following residential-type units (located in the Villas section) do not have daily housekeeping service: Beach Apartment, Beach Studio, Casita, and Ocean Suite. Cleaning service in these units is offered every third night (twice per week). Daily housekeeping service is provided in our regular hotel rooms.

Taxes: all room rates are subject to an additional 9% room tax. Sales tax is 11.5%, except food, which has a reduced rate of 7%.

Guestroom Rental Balance: at the time of check-in, we require the payment of any balance

remaining to cover the entire cost of your room rental and applicable taxes.

Credit Card Requirement: the same credit card that was used to pay your reservation deposit must be physically present at the front desk to be swiped at check-in. The owner of this credit card must be one of the room occupants. A minimum $250.00 hold will be placed on this card at the time of check-in, to guarantee incidental charges (food and beverage, gift shop, damaged or missing hotel property, etc.). This hold is not an actual charge made by the hotel but will temporarily decrease your available line of credit. The hold on your credit card will be released by the hotel at the time of check out. Banks or credit card issuers could require up to 10 days to restore a credit card’s normal line of credit. The hotel accepts only Visa, Mastercard and American Express.

Cash, Debit Cards, and Other Forms of Payment: cash and debit cards are accepted for the payment of any balance in your guest account. Debit cards (whether issued by banks or with credit card logo) or cash deposits will not be accepted to guarantee incidental charges. Checks, gift cards, prepaid credit cards or any type of card without the printed name of the cardholder will not be accepted as a guarantee for incidental charges.

Payment of Guest Account: by the time of check-out, any outstanding balance in your guest account must be paid in full. In case that a guest fails to pay at the time of departure, or if there are any damages to hotel property, or missing hotel property, we will charge first to the pre- authorized credit card on record and, if necessary, further collection efforts will be pursued.

ID Requirement: to check in and to prove identity and legal age of the main guest, a valid, government-issued ID (driver's license, passport) will be required.

21 Years or Older to Check-in and persons under the age of 21 will not be allowed to check-in.

Unaccompanied Minors: Persons under the age of 21 who are not accompanied by their legal guardian will not be allowed to stay at the property. Reservations in which one or more of the room occupants is an unaccompanied minor will be cancelled (even if they have been

confirmed), check-in (if said cancellation has not occurred) will be refused, and in case that they have already checked-in, the stay will be terminated without reimbursement.

Room Charges: a guest who, at the time of check-in, has established credit to cover incidental charges will be allowed to make room charges at the hotel’s food and beverage outlets. The amount of this credit could be limited. The guest signing the registration card will be the only room occupant authorized to make room charges and will be solely responsible for their payment before check-out. Any claims regarding the validity of room charges must be settled at the Front Desk prior to check-out. Upon approval of the final invoice, the hotel, credit card or travel agent will not recognize any claims related to them and credits will not be issued.

Parking: is provided free of charge and is only for cars and motorcycles. The hotel will not be responsible for any damage to vehicles or any stolen or missing property from vehicles. Other vehicles such as boats and recreational vehicles will not be accepted in the hotel’s parking lot.

Maximum Guests in Room: please confirm the correct number of guests at the time of booking a room. Changes might not be possible due to the maximum capacity of the selected room. Extra charges could apply in the case of checking in with a number of people that exceeds the reservation or if additional occupants are found in the room. Termination of stay without reimbursement could occur if a room is found to be occupied by a number of people that exceeds its limit. Rollaway or any other type of extra beds are not available at the hotel.

Pet Policy: Effective January 1, 2025, pets are not allowed in the hotel. The hotel only permits professionally trained dogs that provide assistance in their daily activities to guests withphysical impairments or clinically diagnosed conditions.

Internet Access is provided free of charge in certain public areas of the hotel and in most hotel rooms at the main building. The speed, quality, lack of, or interruption of this free service, or if it does not reach the interior of a guest room, will not be reason for any type of compensation by the hotel. The hotel will not be liable for the type of content uploaded or downloaded by guests, or any damage to their equipment

caused by their internet activity.

Liability Issues: all room occupants are solely responsible for the protection of their personal property or any property that they have brought to the hotel. The hotel will not be liable for missing, stolen, or damaged property. Personal injuries which occur within hotel property must be immediately notified to the Front Desk, documented, and, if applicable, all procedures must be followed. The hotel will not be liable for acts caused by nature, other guests, or visitors.

Early Departure: guests who depart the hotel prior to the originally reserved number of nights could be subject to an early departure fee equal to one night's stay. In case of dates such as holidays, which require a minimum number of nights, this fee will equal the remaining number of nights in their original reservation.

No Visitors Allowed: the hotel facilities are for the exclusive use of registered guests. We do not allow visitors to the property. Any additional room occupants must be registered at the Front Desk and, if the room can accommodate them, additional guest charges will apply. We do not offer ""day-use"" or ""day-pass"" options for visitors.

Right to Refuse Admission: the hotel has the right to refuse admission, even if a reservation has been confirmed, or terminate a stay solely based on what it may consider its best interest. Illegal, immoral, violent, or disruptive behavior or threats, the violation of hotel policies, providing false information or false documents at the time of reservation or check-in, are considered some of the reasons to refuse accepting a guest, to cancel a reservation, or for a registered guest's immediate termination of stay.

No Smoking: any type of smoke-producing activity in hotel rooms or public areas is prohibited by law and subject to fines. If smoke activity is detected in a guest room, a minimum cleaning charge of $250 will be imposed and termination of stay could occur. This includes, but is not limited to, cigarettes, cigars, candles, e-cigarettes, and medicinal or recreational cannabis.

Loud Music: is not allowed in guestrooms or hotel grounds.

Private or Group Activities: are not allowed in our guestrooms or villas. Our units cannot be rented to hold any type of event. If you desire to have an activity in our property, please contact our Sales Department for a quotation of the event.

Portable Grills (BBQ) or any other type of outdoor cooking equipment are not allowed in the property grounds, inside any of our units or in the balconies.

Cooking Equipment is not allowed in our hotel rooms.

Acceptance and Compliance with All Hotel Policies: Room occupancy equals acceptance and compliance with our hotel policies. A full description of all policies regarding guest behavior, security, etc., can be found at www.rinconoftheseas.com or obtained via email upon request.

100% Smoke-Free: Rincon of the Seas is 100% Smoke-Free. For safety and to assure that our facility is not exposed to items or actions that create an odor which is unhealthy and objectionable to our guests and staff, and that is difficult to remove from the air, curtains, walls, and furniture we do not permit smoking tobacco, marijuana, illegal drugs, e-cigarettes, vape pens, vaping, cartridges containing the liquid of nicotine, hookahs, incense, cooking, cigars, candle burning, the use or diffusing of strong-smelling plant-based essential oils or synthetic products in our facility.

Guests are encouraged to notify Front Desk staff immediately if they smell cigarettes, marijuana, or other objectionable odors. This policy is not intended to stop people from smoking, but to regulate where they smoke and how it affects others. A Designated Smoking Area is provided outside and away from the building. Medical cannabis users are requested to consume the product in the beach area, away from other guests.

CANDLE, INCENSE, ESSENTIAL OILS: Candle, incense, essential oils (diffusing, vaporizing, etc.) are prohibited. These items and activities will be treated as smoking as well as potential fire hazards.

NO-COOKING, CCOOKING APPLIANCES COMBUSTIBLES: The safety of our guests, staff, and this facility is extremely important to us. Apart from our kitchen-equipped units (the villas), we prohibit any type of food preparation in the rooms of our main hotel building. A minimum fee of $300.00 will be charged for cooking inside a room, including, but not limited to hot plates, toaster ovens, rice cookers, combustible, open flame, barbecue grill, burners, heating appliance, or any other item intended for cooking. Open fires, flames or cooking grills, either charcoal or gas, are not allowed anywhere on hotel property.

GUARANTEED RESERVATIONS: All reservations must be guaranteed with a valid major credit card. Main guests must be 21 years and older. We accept Visa, Master Card and American Express. We charge a minimum 1-night + room tax deposit for all reservations. Please make sure to receive a reservation confirmation letter when you make a reservation. Reservations must be cancelled at least seventy-two (72) hours, hotel time, prior to your arrival date, to avoid a one (1) room night, plus tax cancellation fee. (Does not apply to non-refundable offers). Room reservations will be held until 11:00 a.m. in the morning following your scheduled arrival date. If you have not checked in by that time, a NO-SHOW charge of one room night, plus tax will be charged to your credit card and the balance of your reservations will be cancelled.

CHECK-IN REQUIREMENTS: Guests must be at least 21 years of age to check in at Rincon of the Seas. In the interests of security and to prevent fraud, guests are required to confirm their identity by providing their valid government-issued photo identification (state driver’s license, passport, etc.) at check-in. A valid and pre-approved credit card in the name of the guest is also required. It is the guest’s responsibility to fully understand the way your bank processes pre-authorizations and charges to your credit card. Some banks hold pending authorizations for up to 10 business days. This may decrease the amount of available credit for other purchases.

SECURITY CREDIT CARD HOLD AT CHECK-IN: We require pre-authorization of a security hold at the time of check in. This is a temporary hold of a specific amount of your available credit limit balance placed on your credit card for a minimum of $300. All credit cards are pre-authorized at check-in. Pre-authorization is not a charge to your account, it is a hold on those funds. Once your actual charge is posted at check-out it can take anywhere from 24 hours to 10 days for the original pre-authorization to be removed by your bank. Generally, most banks release the hold within 4-5 days. It is your responsibility to be aware of how your bank handles all your transactions, including pre-authorizations. We are unable to remove pre-authorizations directly through our hotel.

GUEST REGISTRATION: We require valid contact information from the guest making the reservation including first and last name, mailing address, e-mail, phone number, and signature. Information regarding your license plate/car description is also gathered at the time of arrival, as well as the number of people who will be occupying the rented unit. If the number of guests at the time of arrival exceeds the guests that have been informed at the time of reservation, additional charges will apply for the extra guests. If the number of guests exceeds the maximum occupancy of the rented unit, check-in will not be possible, and the deposit will be forfeited.

CHECK-OUT TIME: Room rental period expires at 12:00 noon. Late check-out is not guaranteed and must be requested prior to 10:00 AM of the day of departure. Additional charge, plus tax will apply for late checkout.

EARLY DEPARTURE: Guests who check-out of the hotel after 12:00 noon and prior to their scheduled departure date are subject to a minimum early departure fee of one night, plus tax. (It could be more during holiday periods).

SPECIAL REQUESTS: We will make every effort to honor special requests such as a specific floor or room number, adjoining rooms, etc. upon your arrival. All special requests are noted on reservations, and we will do our best to accommodate. However, the availability of these items cannot be guaranteed in advance.

ADA/HANDICAPPED ROOMS: ADA compliant guest rooms are available and should be reserved in advanced; please contact the hotel directly 787-823-7500 or reservation@rinconoftheseas.com.

CHECKS AND CHECK CASHING: We do not accept checks. We do not provide check cashing services.

CREDIT CARD AUTHORIZATION BY CORPORATE THIRD-PARTIES: Please contact Rincon of the Seas Reservations Department at least 24 hours prior to guest’s arrival to request a Credit Card Authorization form.

TAX EXEMPT GUESTS: Guests with tax-exempt status must notify it at the time of booking, prior to check-in and must present required documents.

RATES: All rates are quoted in United States currency, plus tax. Rates may increase without notice. Rates as advertised on the Rincon of the Seas website, or any other website or promotional material are subject to change at any time and may increase or decrease at the hotel’s discretion.

RIGHT TO REFUSE SERVICE: Rincon of the Seas is privately owned and operated. We reserve the right to refuse service to anyone for any reason(s) that does not violate Federal or State laws. Rincon of the Seas has a zero-tolerance policy in which we will refuse to admit or refuse service or accommodation in our hotel or may remove a person, without refund, who refuses to abide by the reasonable standards and policies established by the Government of Puerto Rico and the owners for the operation and management of our hotel. Rincon of the Seas will refuse service or evict a guest: for refusal or failure to pay for accommodations, is under the influence of alcohol, drugs, or any other intoxicating substance and acts in a disorderly fashion as to disturb the peace of other guests or hotel staff; acts in a disorderly fashion as to disturb the peace of other guests; is unable to properly supervise their children at all times, seeks to use the hotel for an unlawful purpose; seeks to bring into the hotel: an unlawfully possessed firearm; or something, including an explosive or hazardous or toxic substance, that is unlawful to possess and that may be dangerous to other persons; destroys, damages, defaces, or threatens harm to hotel property, employees or guests; exhibits abusive behavior against guests or hotel employees (physically or verbally); threatens in any way the hotel, its owners, its employees, or other guests; causes or permits persons to exceed the maximum allowable occupancy of room; or refuses to abide by the reasonable standards or policies established by Rincon of the Seas for the operation and management of our hotel.

QUIET HOURS: 10:00 PM. to 8:00 AM. If you become aware of a disruptive guest, please contact Front Desk staff immediately. Televisions, radios, voices, or other devices must always be kept at a respectful low level. Doors should be opened and closed quietly. No congregating or running in halls.

VISITORS: No visitors are allowed in the hotel’s common areas or inside guest rooms. Guests may receive visitors in the lobby between 8:00 AM and 5:00 PM. Visitors must identify with the Security Guard upon arrival, who will notify the Front Desk. Visitors must always be accompanied by the registered guest. Visitors are not allowed to use guest amenities or access guest areas. If a guest is expecting any kind of delivery, the delivery agent must meet the guest at the lobby area.

CONNECTING ROOM POLICY: Connecting rooms are subject to availability and can only be booked directly through the hotel. Please contact the hotel directly to discuss available configurations.

CANCELLATION: Reservations for rooms with flexible rates must be cancelled seventy-two (72 hours) hotel time, prior to your arrival date, to avoid a cancellation fee. If reservations are cancelled less than 48 hours before the arrival date, your credit card will be charged the full room charge plus taxes. If you cancel any reservation, you must obtain and save the cancellation number for your records. In case of a non-refundable rate, your cancellation fee will equal the full payment of your stay.

NO SHOW CHARGES: Failure to check-in on the scheduled arrival date for a reservation guaranteed with a credit card will result in a No-Show fee being charged to your credit card. You will only be charged the first night, one (1) night’s full room rate plus taxes and the balance of the reservation will be cancelled.

ACCESS TO ROOMS: To provide all our guests with an exceptionally clean and safe hotel experience, we provide housekeeping. Our Housekeeping Staff will honor the “Do not disturb” door hanger once during a twelve-hour period indicating that the room is occupied. The Housekeeping Staff is required to enter the room at subsequent times to clean the room, check for safety, and verify the condition of the room. Management reserves the right to enter a room with a known status of “Do not disturb” for reasonable purposes, such as an emergency, housekeeping, maintenance, verify that the room, its furnishings, and mechanical equipment are intact, or to address or prevent a violation of our Hotel Policies. In the event of suspected illegal activity, management reserves the right to summon law enforcement to aid in eviction. The right to privacy ends when a Hotel Policy is broken. Law enforcement will be granted immediate access to hotel property and rooms of evicted guests.

CHILDREN: Up to two children aged 16 and under stay for free when sharing a room with one or more paying adult(s), using existing bedding and without exceeding the maximum person capacity of the rented unit. As the parents, guardians, or chaperones of children you are personally and legally responsible for and must always supervise them. For safety reasons, please do not leave children unattended in guest rooms or allow them to roam the hotel property unsupervised. Children under the age of 13 are not allowed in the swimming pool without being accompanied and supervised by their parent/guardian/chaperone.

ADDITIONAL BEDDING: Rollaway beds of any other type of additional bedding are not available at the hotel.

MAXIMUM OCCUPANCY: Room occupancy requirements are based on fire code/fire safety restrictions. Standard Room maximum occupancy is 4, King or King Handicapped maximum occupancy is 2 (using the existing bed), Casitas maximum occupancy is 6, Beach Apartments and Beach Studios maximum occupancy is 4, Art Deco Suites maximum occupancy is 4, and Family Rooms maximum occupancy is 6. If you exceed the maximum number of guests allowed, you will be asked to rent another guestroom for proper accommodations or vacate the hotel.

ROOM KEYS: Room keys are issued to the registered guest(s). No room keys will be issued to youth under 21 at any time. I.D. is required if you have lost your key and require a duplicate. Please return the room keys to the Front Desk at Check-out.

LOST & FOUND POLICY: Rincon of the Seas assumes no liability for lost, misplaced, stolen, or damaged valuables or belongings. If you discover that you have left behind something of value to you, please call us immediately at 787-823-7500 and we will try to assist you in locating your lost item.

FOUND ITEMS: Rincon of the Seas is not responsible for any item left behind by a guest. However, any item, except for perishable items, left behind by our guests and found after departure by hotel employees will be collected, logged in, and kept in a secure location for collection by the owner for up to thirty (30) days. Perishable items, underwear, and miscellaneous toiletries will be discarded immediately.

UNCLAIMED ITEMS/NO CONTACT: Lost & Found items are held for fourteen (14) days while we attempt to contact the guest. If guest contact information is incorrect or cell phone mailbox is full and we are unable to contact the guest during the thirty (30) day holding period, the unclaimed item(s) are thrown away, given to local organizations, or disposed of accordingly by Rincon of the Seas.

FIREARMS AND WEAPONS: The safety and security of our guests and staff is extremely important to us. Our Firearms and Weapons Policy is designed for the protection of our guests, vendors, staff, and owners, and pertains to the presence of firearms and weapons on hotel premises. We recognize that guests may legally possess firearms or weapons for a variety of legitimate purposes. This policy has been developed to create a safe environment by providing appropriate guidance over the custody of firearms and weapons on our premises. Rincon of the Seas is private property. Guests, who are lawfully permitted to possess a firearm or weapon, may bring such onto our hotel premises for storage purposes only, with the understanding that they are personally responsible for following:

Guests must abide by all Federal, State, and local laws. Firearms and weapons must be appropriately registered. Firearms must be unloaded

No cleaning of firearms is permitted on hotel premises. Firearms and weapons must be always safeguarded and by the guest, and clearly labeled with their name and contact information.

NO IN-ROOM PARTY: Rincon of the Seas enforces a No In-Room Party Policy to ensure we can always protect the hotel and our guests. No parties, loud disturbances and/or noise-nuisance are allowed or tolerated on these premises. In the event of a disturbance, one polite request (warning) will be made to reduce the noise. If our request is not followed, the guest will be asked to leave the hotel without a refund. Registered guest(s) is responsible for all persons in their room.

FREE Wi-Fi ACCESS: Access to our Wi-Fi is free for our registered guests. A unique hotel Wi-Fi access code will be given to guests upon request. Wi-Fi signals are subject to change without notice depending on the service provider, the status of our Wi-Fi-equipment, and interference from other local wireless signals. Rincon of the Seas assumes no liability for guest use of this free service. The quality of the signal or unavailability of this service will not be reasons for any type of compensation.

ENFORCEMENT: All staff is trained and required to respond to potential violations of our Hotel Policies Guests who refuse to abide by the reasonable standards and policies established by Rincon of the Seas for safety of all guests, staff, owners, property, and the operation and management of the hotel will be evicted, with no refund.

TERMS & CONDITIONS: Rincon of the Seas makes its best efforts to ensure that all the information that appears on its website and the website of its authorized travel agents is accurate. However, no warranty, expressed or implied, is given that the information provided on this website is error free. Rincon of the Seas does not accept liability for any errors and/or omissions and reserves the right to change the information published at any time and without notice.

ILLNESS AND EPIDEMICS: Rincon of the Seas reserves the right to refuse accommodations to a guest arriving with a contagious disease. In cases where sickness occurs during the stay, please notify the Front Desk staff. In the case of serious sickness, you may be requested to receive appropriate health care from a nearby healthcare facility. During epidemics we are entitled to employ precautionary measures within our judgment or as required by local authorities. We may charge you a room cleaning fee as we deem appropriate under the circumstances.

INFESTATION: The cleanliness of our rooms is extremely important to our guests. If you bring any infestation into your room or onto our hotel premises, we may charge you for all costs and expenses, including immediate or urgent response requirements and loss of room revenue, that we deem necessary to address the infestation.

PARKING AT OWN RISK: All vehicle(s) must be listed on the registration at check-in. Parking for registered guest(s) is free. All vehicles are parked at the risk of the owner. Rincon of the Seas shall not assume liability or responsibility for any vehicle, occupants, or contents while operated or parked on the hotel property. If a vehicle is left in the hotel parking lot after the guest has departed without the written consent of the hotel, the hotel reserves the right to have the vehicle towed at the owner’s expense. No vehicle repairs on hotel premises.

DAMAGE AND/OR THEFT OF HOTEL PROPERTY: You are liable for any damage howsoever caused (whether by the deliberate, negligent, or reckless act) to the room (s), hotel’s premises or property caused by you or any person in your party whether staying at the hotel during your stay. Rincon of the Seas reserves the right to retain your credit card details as presented at registration and charge such amounts as it shall in its sole discretion deem necessary to compensate or make good the cost or expenses incurred or suffered by Rincon of the Seas because of the aforesaid. Should this damage come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the Hotel property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc. We will make every effort to rectify any damage internally prior to contracting specialist to make the repairs, and therefore will make every effort to keep any costs that the guest would incur to a minimum.

DAMAGE DISCOVERED AFTER CHECK-OUT: Guest Rooms found with waste strewn around, in complete disorder, and/or “trashed” will be subject to maintenance deep cleaning fee, administration fee and/or third party fees.

DAMAGE TO ROOM: Damage to rooms, fixtures, furnishing and equipment including the removal of electronic equipment, towels, art work, etc. will be charge at 120% of full and new replacement value plus any shipping and handling charges. Any damage to hotel property, whether accidental or willful, is the responsibility of the registered guest for each room. Any costs associated with repairs and/or replacement will be charged to the credit card of the registered guest. In extreme cases, criminal charges will be pursued.

DAMAGE TO MATTRESSES AND BEDDING

Damage to mattresses and linen including; towels, mattress pads, sheets, bedspreads, blankets resulting from the use of body oils, hair coloring, make-up, shoe-polish, etc. will result in a charge for the special cleaning, repair or replacement of the damaged article.

DAMAGE OR TAMPERING WITH FIRE DETECTION SYSTEMS/FIRE-FIGHTING EQUIPMENT: Rincon of the Seas reserves the right to act against any guest or visitor found to have tampered or interfered with any detection equipment throughout the hotel, including detector heads in public areas, guest rooms, break glass points and fire extinguishers. Guests or visitors found to have tampered with any fire detection or fire-fighting equipment will be charged with any costs incurred by the hotel due to their actions and will be evicted from the hotel. Depending on the severity of the guest’s actions, law enforcement may become involved at the hotel’s discretion. Should the fact that fire-fighting or detection equipment had been tampered with come to light after the guest has departed, we reserve the right and you hereby authorize us to charge your credit or debit card for any damage incurred to your room or the Hotel property during your stay, including and without limitation for all property damage, missing or damaged items, smoking fee, cleaning fee, guest compensation, etc.

CHANGES OR MODIFICATION TO THE HOTEL POLICIES: Rincon of the Seas reserves the right to amend, modify, change, cancel, vary or add to these Hotel Policies or the arrangements and content featured on our Hotel website at any time without prior notice. Please check our website regularly for updates to Hotel Policies. Any modification to these policies that occurs before your departure is considered a part of your reservations agreement with us. A copy of these policies is located on our website, a summary be included with your confirmation letter, and printed copies are available from Front Desk staff upon request.

DISPUTES AND CLAIMS: Any controversy, dispute or claim arising out of or in connection with these hotel policies or with anything related to the facilities or services provided by Rincon of the Seas shall come under the sole jurisdiction of the court system of the Commonwealth of Puerto Rico, district of Aguadilla.
